Unused accounts report and migration

The Unused Accounts Report helps you find accounts that are cluttering your Chart of Accounts so you can clean them up. It groups accounts by how much they are used and suggests what to do with each one.

Open the report

  1. From the Accounting menu, open Accounts.
  2. Open the Unused accounts report.

How accounts are grouped

  • Unused — no transactions and a zero balance. The report recommends removing these (unless they are system accounts, which it recommends keeping).
  • Low activity — only a few transactions (1–5) and a zero balance. The report recommends reviewing these for consolidation.
  • Active — accounts that are in regular use.

A summary at the top shows totals, including how many accounts can safely be removed.

Bulk-delete unused accounts

  1. In the unused list, select the non-system accounts you want to remove.
  2. Run the bulk delete action.

The report tells you how many accounts were deleted and how many were skipped.

Migrate transactions to another account

If an account has activity but you still want to retire it, move its transactions to another account first:

  1. Open the migrate form for the account.
  2. Choose a target account of the same type.
  3. Optionally choose to deactivate the original account after migrating.
  4. Confirm the migration.

You’ll see how many transactions were moved and between which accounts.

Tip: System accounts are always kept. Only non-system accounts can be bulk-deleted.
