Step 4: Set up sales – customers, quotes, and invoices

Set up sales — customers, quotes, and invoices

Set up Finance first so your invoices post correctly and charge the right tax. Products are optional — you can also type free-text line items.

Set up in this order

  • Deal stages — open Settings → Deal Stages. A six-stage pipeline is ready; customize it if you like.
  • Customers (Accounts) — open Accounts. Create these first; everything in sales links to a customer.
  • Contacts — open Contacts. Each contact belongs to a customer, so add the customer first.
  • Leads and Deals — open Leads and Deals to track opportunities and convert leads into customers and deals.

Quotes, invoices, and payments

  • Invoice templates (optional) — Invoices → Templates lets you pre-fill default terms, notes, and line items.
  • Quotes — create, send, and convert a quote to an invoice, project, or work order.
  • Invoices — calculate tax and post to your books automatically when sent.
  • Payments — record against an invoice using Invoices → Record Payment.
  • Credit notes — issue refunds or credits against invoices.

Quote, invoice, and credit-note numbers are generated automatically.
