Journal Entries

Journal Entries overview

Journal Entries are the manual records you post to your general ledger. Each entry moves amounts between accounts using debits and credits, and the total debits must always equal the total credits.

Where to find it

From the Accounting menu, open Journal Entries. The list shows entries newest first, with their entry number, date, and status.

Entry statuses

  • Draft — created but not yet posted. Drafts can be edited or deleted.
  • Posted — recorded to the ledger and reflected in balances.
  • Voided — reversed, with a reason kept on record.

Key concepts

  • Every entry needs an Entry Date, a Description, and at least two lines with amounts.
  • Each line points to an account and has either a Debit or a Credit amount.
  • Total debits must equal total credits before the entry can be saved.
  • You can mark an entry as an Adjusting Entry when appropriate.

What you can do

Tip: A new entry number is generated automatically when you start a new entry.
